• This Privacy Policy explains how [Ajinomatrix SRL] (“we/us/our”) processes personal data on this webshop.

• We rely on third-party service providers (e.g., Wix, Stripe, PayPal, shipping carriers, email/chat tools). Their own privacy terms apply in addition to ours.

• We may update this Policy; the version shown at checkout applies to your order. Major changes will be signaled on the site.

What we collect

• Identity & contact: name, email, phone, billing/shipping address.

• Order & payment: items, amounts, order history; payment tokens via payment processors (we do not see full card numbers).

• Support: messages, tickets, photos you send.

• Device & usage: cookies/IDs, IP, pages viewed, approximate location (for shipping/taxes).

• Marketing: your newsletter preferences and clicks (only if you opt-in).

Why we process (legal bases)

• Perform a contract (Art. 6(1)(b)): process orders, payments, delivery, returns/warranty.

• Legitimate interests (Art. 6(1)(f)): site security, fraud prevention, analytics to improve our store, reasonable B2B outreach.

• Consent (Art. 6(1)(a)): non-essential cookies/analytics/marketing email. You can withdraw consent anytime.

• Legal obligation (Art. 6(1)(c)): tax, accounting, consumer law.

Sharing (processors/recipients)

• Store/hosting: Wix (web platform & hosting).

• Payments: Stripe, PayPal.

• Shipping & logistics: carriers, fulfillment partners.

• Support & comms: email/chat/helpdesk providers.

• Analytics/ads (consent-based): e.g., Google Analytics/Meta Pixel.
  We require processors to protect your data and act only on our instructions.

International transfers
Some providers store/process data outside the EEA (e.g., US/Israel/UK). Transfers use GDPR safeguards such as Standard Contractual Clauses or adequacy decisions. Copies can be requested.

Retention

• Orders & invoices: 10 years (Belgian accounting law).

• Support tickets: 3 years after closure.

• Marketing email data: until you unsubscribe or after 2 years of inactivity.

• Cookies: per cookie’s lifespan (see Additions).

Your rights
Access, rectification, erasure, restriction, portability, objection, and withdrawal of consent. To exercise: email privacy@ajinomatrix.org with proof of identity. We respond within 1 month. You may complain to a supervisory authority.

We use HTTPS, access controls, and reasonable technical/organizational measures. No method is 100% secure; report concerns to us immediately.

Our store is for 18+. We do not knowingly collect children’s data.

A) Cookies & Tracking (summary)

We use cookies/IDs to run the shop and, with consent, to measure and improve it.

Categories

• Strictly necessary (no consent): session ID, cart, checkout, cookie-consent state.

• Functional (consent): remembering preferences, language.

• Analytics (consent): visitor counts, pages, conversions (e.g., Google Analytics).

• Marketing (consent): remarketing/ads frequency capping (e.g., Meta/Google Ads).

B) Email & Direct Marketing

• We send marketing only if you opt-in or if permitted for similar products to existing customers (you may opt-out anytime).

• Every email includes an Unsubscribe link. Unsubscribing does not affect essential service emails (order, shipping, returns).

C) Payments & Fraud Prevention

• Payments are processed by Stripe/PayPal. We never store full card details. Providers may use risk scoring/fraud checks (automated decision-making) to protect you and us. Contact them for details on their logic and rights.

D) User-Generated Content & Support Files

• If you upload photos/videos (e.g., for support), you confirm you have rights to share them. Do not include sensitive data in uploads.

E) Social Media / Embedded Media

• If you interact with embedded videos, social buttons, or external links, those platforms may set their own cookies and become independent controllers of your data.

F) Business Customers & Education

• For B2B/education orders we may keep contact details to manage quotes, delivery, and after-sales under legitimate interests. You can object at any time.
