Shipping Policy

Legal disclaimer

  • This Shipping Policy applies to purchases made through our webshop and is aligned with EU consumer rules and Belgian law.

  • Delivery dates are indicative and may vary due to carrier constraints, customs inspections, or force majeure.

  • Battery-containing products ship under carrier safety rules; routes/methods may change to comply with transport regulations.

  • If this policy conflicts with mandatory law, the law prevails. We may update this policy; the version shown at checkout applies to your order.

Shipping Policy 

1. Seller & Dispatch Point
Seller: [Ajinomatrix SRL], [Drève de la Chapelle, 34 - 1430 Rebecq - Belgium], KBO/BCE [0758.375.791], VAT BE[0758.375.791]. Goods normally dispatch from Belgium (or an EU partner warehouse where indicated).

2. Where We Ship

  • EU + UK on launch. For other countries, contact [support@ajinomatrix.org] for a quote and feasibility.

  • Some remote areas may require a surcharge or extended transit times.

3. Processing & Dispatch

  • Typical processing time: 1–3 business days after payment confirmation (unless marked “Pre-order”).

  • Orders placed after [15:00 CET] are processed the next business day.

4. Delivery Times (estimates)

  • Belgium: 1–2 business days after dispatch

  • EU (near): 2–5 business days

  • EU (peripheral) & UK: 3–7 business days
    Tracking is provided by email when the parcel leaves our warehouse.

5. Shipping Costs

  • Calculated at checkout by zone and weight/size (or according to flat-rate tiers if shown).

  • Any free-shipping threshold (if offered) applies to the subtotal after discounts, VAT included.

6. Customs, Duties & Taxes

  • EU deliveries: VAT included at checkout.

  • UK/Non-EU: shipped DAP (Incoterms 2020) unless stated otherwise. Buyer is importer of record and responsible for duties/VAT/fees at delivery.

7. Partial Shipments
We may split your order to speed delivery. You’ll receive separate tracking numbers at no extra cost.

8. Delivery & Risk
Risk passes on delivery to the address provided or to a designated safe place if you authorize it with the carrier. Inspect parcels on arrival and report visible damage immediately.

9. Address Changes & Undeliverable Parcels

  • Contact us before dispatch to correct addresses.

  • If a parcel is returned as undeliverable (wrong address, not collected), we can reship (additional postage applies) or refund minus the original shipping cost.

10. Pre-Orders & Backorders
Estimated ship dates appear on the product page and order confirmation. You may cancel any pre-order prior to dispatch for a full refund.

11. Click & Collect / Installation (optional)
If offered in your region, local pickup or on-site installation will be shown at checkout or quoted by support.

Shipping Policy - Additions

A) Zones & Methods (template—edit to match your setup)

  • Zone 1 (BE): bpost/DPD • small parcels & standard kits • 1–2 days.

  • Zone 2 (EU near: FR, NL, DE, LU): DPD/UPS • 2–4 days.

  • Zone 3 (EU rest & UK): UPS/DHL • 3–7 days.

  • Bulky/fragile: pallet or special courier; we’ll confirm cost/ETA before dispatch.

B) Lithium Batteries & Power Stations

  • Shipments containing lithium cells follow IATA/ADR rules. We may ship separately or select carriers/routes that accept these goods. Deliveries to PO boxes are not available for battery shipments.

C) Packaging & Sustainability

  • We use sturdy, recyclable packaging and may reuse clean fillers to reduce waste. Please recycle cartons and protective materials locally.

D) Damage, Loss & Claims

  • Visible damage: note it with the driver (if possible) and photograph the box and contents within 48 hours; email [support@yourdomain] with your order number.

  • Lost parcels: if tracking shows no movement beyond carrier SLA, we open an investigation. If confirmed lost, we reship or refund.

E) Missed Deliveries & Pickup Points

  • Carriers may attempt re-delivery or route to a pickup point. Uncollected parcels are returned after the carrier holding period (typically 7–10 days).

F) Multiple Boxes & Contents

  • Some kits ship in multiple boxes (e.g., tank + accessories + solar pack). Contents can arrive on different days; tracking links show each box.

G) Remote Areas & Surcharges

  • Islands, mountain regions, and remote postcodes may have longer transit times or a surcharge. We’ll notify you before dispatch.

H) Export Controls & Restrictions

  • We do not ship to embargoed countries or regions restricted by EU/UN/US sanctions. Orders to such destinations will be cancelled and refunded.

I) Force Majeure

  • Weather events, strikes, pandemics, and other circumstances beyond our control can delay delivery. We’ll keep you informed and work on alternatives where possible.
